If you have\u00a0Advanced Receiving\u00a0enabled in NetSuite, you can easily clean up these discrepancies. This process generates journal entries that move variances to the correct accounts, ensuring your financial reporting remains accurate and transparent.<\/p>\n<h2>Type of Variances:<\/h2>\n<p>There are three types of variances that NetSuite will check for between the Receipt and the Purchase Order.<\/p>\n<ol>\n<li>Price Variance<\/li>\n<li>Quantity Variance<\/li>\n<li>Exchange Rate Variance<\/li>\n<\/ol>\n<h2>Setting Up Item Records for Variances<\/h2>\n<p>To be able to calculate variances for items, the following need to be set up on the item records.<\/p>\n<ul>\n<li>Variance Accounts<\/li>\n<li>Default Setting for Match Bill to Receipt<\/li>\n<\/ul>\n<h2>Variance Accounts:<\/h2>\n<p>To manage your variances, you\u2019ll first need to designate\u00a0GL COGS accounts\u00a0for posting. On each item record, you can choose different accounts for price, quantity, and exchange rate variances, or use a single account if you don&#8217;t need to see them broken out. Once these fields, Bill Price Variance,\u00a0Bill Quantity Variance, and\u00a0Exchange Rate Variance, are filled in, NetSuite knows exactly where to post the discrepancies when journals are generated.<\/p>\n<h2>Match Bill to Receipt<\/h2>\n<p>Enable the\u00a0Match Bill to Receipt\u00a0preference on the item record to automate your variance tracking. This ensures that any purchase order featuring the item is automatically set to calculate variances against the vendor bill. If you prefer more control, leave this box clear and manually select the option only when needed on specific transaction lines.<\/p>\n<h2>Price Variance Transactions Example:<\/h2>\n<p>Below is an example of a price variance that may occur between transactions.\u00a0 For any of the three types of variances identified in the system, the calculations are the same, however, NetSuite allows you to designate the variance account for posting each type of variance.<\/p>\n<p>For the purchase order we add an item with the following attributes:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" receive the items into the warehouse location with the following:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-5311\" bill from the vendor, we enter the following into NetSuite:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-5312\" https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2026\/04\/Screenshot-2026-04-23-083427.jpg 787w\" sizes=\"auto, (max-width: 415px) 100vw, 415px\" \/><\/p>\n<p>Notice that the Price Per Unit on the Vendor Bill is $10 more than the amount that was entered on the Purchase Order.\u00a0 This Price per unit difference will result in a variance when NetSuite compares the Total Amount of the Vendor Bill and the Purchase Order.<\/p>\n<h2>Transaction GL Impacts:<\/h2>\n<p>The GL Impact for the Item Receipt will credit Accrued Purchases and Debit Inventory for the $1000 which is the Quantity * Price Per Unit * Exchange Rate.\u00a0 In our example, this is (10 * 100 * 1) = 1000.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-5295\" Accounts Payable and Debit Accrued Purchases for $1100, which is the Quantity * Price Per Unit * Exchange Rate.\u00a0 In our example, this is (10 * 110 * 1) = 1100.<\/p>\n<p><img loading=\"lazy\" calculate the variances using the following formulas:<\/p>\n<ul>\n<li><strong>Item Receipt Amount<\/strong>= Quantity * Price Per Unit * Exchange Rate<\/li>\n<li><strong>Vendor Bill Amount<\/strong>= Quantity * Price Per Unit * Exchange Rate<\/li>\n<li><strong>Price Variance<\/strong>= Vendor Bill Amount \u2013 Item Receipt Amount As we can see, the price variance between the Purchase Order\/Item Receipt and the Vendor Bill is $10 per unit which results in a total price variance amount of $100.\u00a0 In order to reconcile this price variance, we will need to generate a variance journal entry in NetSuite.<\/li>\n<\/ul>\n<h2>Posting Vendor Bill Variances and Creating Variance Journals<\/h2>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-5297\" https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2026\/04\/Picture3-2.png 975w\" sizes=\"auto, (max-width: 1097px) 100vw, 1097px\" \/><\/p>\n<ol>\n<li>Navigate to\u00a0<strong>Transactions &gt; Payables &gt; Post Vendor Bill Variances<\/strong><\/li>\n<li>Verify or select the posting period for the journal entry you are creating<\/li>\n<li>Verify or enter the date for the journal entry. This defaults to the current date<\/li>\n<li>Select the subsidiary of the transaction, One World accounts only<\/li>\n<li>In the\u00a0Transaction Type\u00a0field, make a selection to filter the list of transactions:\n<ul>\n<li>Choose\u00a0Purchase Order\u00a0to show closed purchase order lines with a variance that do not have the\u00a0Match Bill To Receipt\u00a0box checked<\/li>\n<li>Choose\u00a0Bill\u00a0to show only vendor bills linked to Purchase Orders that have the\u00a0Match Bill To Receipt\u00a0box checked<\/li>\n<\/ul>\n<\/li>\n<li>When you have selected\u00a0Bill\u00a0in the\u00a0Transaction Type\u00a0field, you can make a selection in the\u00a0Transaction Status\u00a0field:\n<ul>\n<li>Choose\u00a0Open\u00a0to show all open vendor bills<\/li>\n<li>Choose\u00a0Paid in Full\u00a0to show only vendor bills that are completely paid<\/li>\n<\/ul>\n<\/li>\n<li>In the\u00a0Vendor\u00a0field, select a vendor to filter the list to show only transactions associated with the selected vendor<\/li>\n<li>Clear the\u00a0Include Bills Without Receipts\u00a0box to exclude bills from the list that have no item receipts entered against them. Check this box to include all bills regardless of receipts<\/li>\n<li>Check the box in the\u00a0Select\u00a0column next to all transactions you want to create a variance journal entry<\/li>\n<li>Click\u00a0Create Journal Entries. The Post Vendor Bill Variances Results page opens and shows the journals created by the entry.
