{"id":4645,"date":"2025-03-10T18:50:45","date_gmt":"2025-03-10T18:50:45","guid":{"rendered":"https:\/\/quebit.com\/askquebit\/?p=4645"},"modified":"2026-01-20T15:33:52","modified_gmt":"2026-01-20T15:33:52","slug":"member-formatting-in-planning-analytics-workspace","status":"publish","type":"post","link":"https:\/\/quebit.com\/askquebit\/member-formatting-in-planning-analytics-workspace\/","title":{"rendered":"How Do I Apply Member Formatting in Planning Analytics Workspace?"},"content":{"rendered":"<p><strong>Member Formatting in Planning Analytics Workspace<\/strong><\/p>\n<p>Conditional formatting in MS Excel is\u00a0a feature that automatically formats cells based on their values.\u00a0This can include changing cell colors, borders, or font styles.\u00a0<a href=\"https:\/\/www.ibm.com\/products\/planning-analytics\/workspace\">IBM Planning Analytics Workspace<\/a> (PAW) also offers conditional formatting capabilities, allowing you to highlight specific data points based on specific conditions (similar to how it works in MS Excel), allowing you to <em>visually emphasize<\/em> important values by changing the looks of a cell based upon \u201crules\u201d you define.<\/p>\n<p>The new\u00a0<a href=\"https:\/\/www.ibm.com\/docs\/en\/planning-analytics\/2.1.0?topic=211-use-new-format-manager-format-cube-views\">Format manager\u00a0<\/a>(<a href=\"https:\/\/www.ibm.com\/docs\/en\/planning-analytics\/latest?topic=workspace-manage-features\">subject to enablement<\/a>)\u00a0by a Planning Analytics Workspace administrator), is a tool designed\u00a0to control the structure and layout of data within the Planning Analytics Workspace, allowing users to customize how information is presented in reports, dashboards, and other views, essentially providing a way to manage the visual formatting and organization of data for different users and scenarios within the platform.<\/p>\n<p><strong>Try an Example<\/strong><\/p>\n<p>The following is a simple example of adding a conditional formatting rule to a data point within a <a href=\"https:\/\/www.ibm.com\/docs\/en\/planning-analytics\/2.0.0?topic=views-books\">Planning Analytics Workspace book<\/a>. After logging into Planning Analytics Workspace and opening a book (where you want to add the formatting), toggle the \u201cmode\u201d to EDIT:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-4646\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture1.png\" alt=\"\" width=\"900\" height=\"77\" srcset=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture1.png 900w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture1-300x26.png 300w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture1-768x66.png 768w\" sizes=\"auto, (max-width: 900px) 100vw, 900px\" \/><\/p>\n<p>Once you are in EDIT mode, right-click on the <u>column<\/u> in the view where you want to add your conditional formatting and then select \u201c<strong>Member format<\/strong>\u201d:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-4647\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture2.png\" alt=\"\" width=\"715\" height=\"327\" srcset=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture2.png 715w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture2-300x137.png 300w\" sizes=\"auto, (max-width: 715px) 100vw, 715px\" \/><\/p>\n<p>The \u201c<strong>Edit &lt;name of selected column&gt; format<\/strong>\u201d dialog will be displayed. There will be three \u201csections\u201d listed on the left of the dialog: \u201c<strong>Format data cells<\/strong>,\u201d \u201c<strong>Format header cells<\/strong>\u201d and \u201c<strong>Conditional data rules<\/strong>.\u201d Depending upon the data that will be in the cell, you may need to change the data cell format. For example, I have a cell that will display text data and want to add formatting based upon the value of that cell. To do that you need to set the data cell format to \u201cCustom format\u201d (to allow for a text rule to be applied to that cell).<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-4648\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture3.png\" alt=\"\" width=\"932\" height=\"491\" srcset=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture3.png 932w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture3-300x158.png 300w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture3-768x405.png 768w\" sizes=\"auto, (max-width: 932px) 100vw, 932px\" \/><\/p>\n<p>As shown above, I disabled the <strong>Inherit<\/strong> property by clicking the toggle to the off position since we do not want this cell to inherit any formatting from the corresponding Planning Analytics cube view. Next, I selected \u201c<strong>Custom Format<\/strong>\u201d from the drop-down selector and entered a \u201c#\u201d for the \u201c<strong>Number Format<\/strong>\u201d value. Finally <strong>Apply <\/strong>was clicked.<\/p>\n<p>We can skip the \u201c<strong>Format header cells<\/strong>\u201d section and go on to \u201c<strong>Conditional data rules<\/strong>.\u201d In this section, click <strong>Add rule +<\/strong>, then modify the \u201cformatting rule\u201d that was added:<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-4649\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture4.png\" alt=\"\" width=\"900\" height=\"151\" srcset=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture4.png 900w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture4-300x50.png 300w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture4-768x129.png 768w\" sizes=\"auto, (max-width: 900px) 100vw, 900px\" \/><\/p>\n<p>There is an <strong>Order<\/strong> value (this is the rule <em>precedence<\/em> or the <em>order<\/em> in which the rule will be applied (if there is more than one rule created for this cell), similar to formatting rules in MS Excel. \u00a0Next, you will see <strong>Member<\/strong>. This is the member where I want to attach my rule (you can change the member value if you want or need to by selecting a different value from the drop-down selector). The <strong>Type<\/strong> will show as <em>Text<\/em> (since we formatted the cell in the prior step to a custom format of text) for <strong>Operator<\/strong>, I selected \u201cEquals\u201d and for <strong>Value<\/strong> I enter a \u201cY.\u201d<\/p>\n<p>Finally, click on the <u>ellipse icon<\/u> and then <strong>EDIT<\/strong> to add the customize formatting (border color, fill color, font style and color and even add an Indicator):<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-4650\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture5.png\" alt=\"\" width=\"900\" height=\"480\" srcset=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture5.png 900w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture5-300x160.png 300w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture5-768x410.png 768w\" sizes=\"auto, (max-width: 900px) 100vw, 900px\" \/><\/p>\n<p>Last step, click <strong>DONE<\/strong> then <strong>Apply<\/strong>, and refresh your page to view your work!<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-4651\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture6.png\" alt=\"\" width=\"727\" height=\"143\" srcset=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture6.png 727w, https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2025\/03\/Picture6-300x59.png 300w\" sizes=\"auto, (max-width: 727px) 100vw, 727px\" \/><\/p>\n<p>The above (<strong>Format member<\/strong>) is a <strong>Format Manager<\/strong> <em>shortcut<\/em>.
