{"id":3400,"date":"2023-04-12T15:32:59","date_gmt":"2023-04-12T15:32:59","guid":{"rendered":"https:\/\/quebit.com\/askquebit\/layout-component-references-in-cognos-reports-version-11-1-x\/"},"modified":"2026-01-16T14:51:47","modified_gmt":"2026-01-16T14:51:47","slug":"layout-component-references-in-cognos-reports-version-11-1-x","status":"publish","type":"post","link":"https:\/\/quebit.com\/askquebit\/layout-component-references-in-cognos-reports-version-11-1-x\/","title":{"rendered":"How Do I Use Layout Component References in Cognos Analytics 11.1.x to Standardize and Reuse Report Components?"},"content":{"rendered":"<h2><strong><em>How to use a Layout Component Reference, and override components when necessary!<\/em><\/strong><\/h2>\n<p>One of the main struggles report authors face is the maintenance of production reports.\u00a0 It\u2019s not enough to just create the report, one must also ensure the report is updated as changes are made to corporate privacy notifications, colors and logos.\u00a0 This is especially true for companies going through a re-branding process.<\/p>\n<p>Recently QueBIT worked with a client who\u2019s been a Cognos user for many years.\u00a0 They had over 70 reports in production.\u00a0 Each report contained individual items such as headers, footers and images.\u00a0 Some were created so long ago, the colors and images on the report were no longer valid.\u00a0 Any attempt to update branding represented a great deal of repetitive formatting changes.<\/p>\n<p>Our task was to implement a reporting strategy which would minimize this chore.\u00a0 Specifically, we recreated the reports using a shared standard style sheet, enabling the report authors to make style changes to only one source, and have those changes cascade to the other 70 reports automatically.\u00a0 Of course, each report had its specialized formatting needs.\u00a0 For example, when a report was burst on a query item, the item needed to be part of the header.\u00a0 We therefore, needed to ensure we could also override components when necessary.\u00a0 This is where the use of Layout Component References came into play.\u00a0 In the sample below, I\u2019ll walk you through the creation of the standard layout report, how to reference its components, as well as override when necessary.<\/p>\n<p><strong>Business Case:\u00a0 <\/strong><\/p>\n<p>The City of Boston currently utilizes a \u201c311 System\u201d, which enables city residents or city workers to easily report non-emergency issues.\u00a0 Items such as broken streetlights or graffiti can be reported to the proper city services department via mobile phone applications, online, social media or a phone call.<\/p>\n<p>To accelerate the use of this system, the city has implemented a new logo and branding campaign.\u00a0 Below is a sample of one of the reports.\u00a0 The goal of the task is to ensure all 311 System reports reference a single source for layout components so reports can be updated with minimal effort.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-838\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef1-min.jpg\" alt=\"\" width=\"715\" height=\"697\" \/><\/p>\n<p><strong>Procedure:<\/strong><\/p>\n<ol>\n<li>QueBIT recommends before starting this task, if not already done, create a \u201cTemplates\u201d folder and \u201cStyle Reference Reports\u201d folder under the \u201cTeam content\u201d folder as shown below on the Cognos Portal. These folders will hold the style reference reports used for layout reference components.\u00a0 (The use of templates will be discussed in a later knowledge base article)<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-839\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef2-min.jpg\" alt=\"\" width=\"486\" height=\"212\" \/><\/p>\n<ol start=\"2\">\n<li>To begin, create the style reference report which will include common reference objects needed for all reports (i.e. header, footer, and logo). When complete, place the report in the \u201cStyle Reference Report\u201d folder shown above.\u00a0 For this example, I named the report \u201cBoston City Standard Style\u201d.\u00a0 Rather than going through this process and display activities not included in this article, I\u2019ve identified necessary steps below to ensure the objects within this report can be used for our layout component reference.\n<ul>\n<li>Ensure your objects are encapsulated by blocks, and these blocks have clear and reusable names. For this example, I\u2019ve created a header and footer object, and named them \u201cheadercomponent\u201d and \u201cfootercomponent\u201d respectively.<\/li>\n<li>In the headercomponent block, I\u2019ve placed all the items I want to include when I reference it in my data reports. (i.e. logo, report name, page number and page count).<\/li>\n<li>In the footercomponent block, I\u2019ve included additional privacy text, as well as a function to show the report run date.<\/li>\n<li>Since no report is completely the same, I\u2019ve also created a text item and named it \u201csubtitle1\u201d. This is the component that will be overridden when additional information is needed in the header.\u00a0 Just as above, you must name the component so it can be referenced.<\/li>\n<\/ul>\n<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-840\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef3-min.jpg\" alt=\"\" width=\"567\" height=\"199\" \/><\/p>\n<ol start=\"3\">\n<li>Now let\u2019s create the data report, which includes the query of the information we want to report on. \u00a0For this example, I\u2019ve created a very simple list report, with a section and page break created for each neighborhood.\u00a0 I\u2019ve named it \u201c311 Calls \/ Service Request Detail\u201d.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-841\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef4-min.jpg\" alt=\"\" width=\"1003\" height=\"319\" \/><\/p>\n<ol start=\"4\">\n<li>To incorporate the header component created on the standard style report, click the Toolbox icon and drag\/drop the layout component reference object above the list object on this report.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-842\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef5-min.jpg\" alt=\"\" width=\"486\" height=\"249\" \/><\/p>\n<ol start=\"5\">\n<li>In the component reference box, enter the name of the reference report (Boston City Standard Style) and specific component (headercomponent). Please note, you can also reference another object within the same report.\u00a0 This comes in handy when, for example, there are multiple pages using the same header within the report.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-843\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef6-min.jpg\" alt=\"\" width=\"484\" height=\"616\" \/><\/p>\n<p>Important.\u00a0 When looking at the properties box for the component reference layout, you have the option to either embed the object as a reference or copy.\u00a0 As the names suggest, a reference stores a pointer to the object and a copy stores a stand-alone copy of the object.\u00a0 In this case, use reference, as you want the data report to automatically update when changes are made on the style reference report.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-844\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef7-min.jpg\" alt=\"\" width=\"417\" height=\"303\" \/><\/p>\n<ol start=\"6\">\n<li>Repeat step #5, but this time choose the \u201cfootercomponent\u201d. This is what your design should look like.\u00a0 Please note, header and footer layout component references are highlighted in blue.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-845\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef8-min.jpg\" alt=\"\" width=\"981\" height=\"577\" \/><\/p>\n<ol start=\"7\">\n<li>Run the report. Your layout component reference should be working well.\u00a0 However, notice subtitle1 is still showing.\u00a0 Let\u2019s take care of this in the next step.<\/li>\n<\/ol>\n<p><img loading=\"lazy\" decoding=\"async\" class=\"aligncenter size-full wp-image-846\" src=\"https:\/\/quebit.com\/askquebit\/wp-content\/uploads\/2019\/10\/CompRef9-min.jpg\" alt=\"\" width=\"353\" height=\"342\" \/><\/p>\n<ol start=\"8\">\n<li>For this report, I want to add the neighborhood query item as part of the header.
